Unilabs chooses Itella for the secure distribution of healthcare appointment letters

Quality and security are paramount in the production of healthcare appointment letters. Itella’s automated production process, iPost, was therefore a natural choice for Unilabs. This commission will involve the production of around 800,000 letters per year for three years.

Unilabs provides diagnostics services in laboratory medicine, medical imaging and other key areas for inpatient and outpatient treatment. The company is active in 11 hospitals, 2 emergency departments, 20 primary care laboratories and 3 independent clinics. It has revenue of around SEK 995 million per year and has over 900 employees, primarily biomedical analysts, radiology nurses and doctors specialising in radiology or laboratory medicine.

Unilabs’ requirements

Unilabs needed a supplier that is synonymous with secure, high-quality production. It wanted to switch from having many different systems and different print suppliers to one common production system. The focus is on getting the necessary, accurate information to the right person at the right time. Giving the wrong information to the wrong person can have major healthcare consequences. Kirsi Saranka, buyer at Unilabs, explains:

- We know that Itella is a company that stands for openness and honesty, and which makes practical, creative suggestions. We hope that this collaboration will enable us to minimise manual mailings from our company so that as much as possible goes via the automated iPost service.

- The iPost service enables us here at Unilabs to effectively obtain a more even and secure flow for our mailings at a much lower cost than before.

Itella’s solution

Itella’s solution is to use iPost, which includes automated flow, postage optimisation and secure distribution to recipients via guaranteed procedures with postal agents in Sweden. Along with Itella’s other customers, Unilabs is able to benefit from the well-developed procedures and the discounted postage agreements which Itella has negotiated.

- Itella knows the importance of secure automated production when it comes to sensitive mail, such as appointment letters. Itella’s standardised production line gives Unilabs security through a well-functioning, automated flow. The recipients get the right information at the right time and are able to prepare themselves at their own pace, allowing them to get so much more out of their visit, explains Itella Information’s Marcus Bjärneroth.

In order to increase the attendance rate (i.e. the proportion of people who keep their appointment), Itella also offers the option of tailoring information to each individual recipient (e.g. inclusion of a map, advice, information) in each appointment letter. The aim is to reduce the number of no-shows from the current level of 20% by using Itella’s tool for tailoring information.
