New HR system to help WESC Foundation manage complex employment requirements

Colchester, UK – 21 May 2013 WESC Foundation, the specialist centre for visual impairment, is to implement a new HR, payroll and expenses system from Access Group. SelectHR, SelectPay and aCloud Expense will help support the organisation and its 300 staff. The new system will replace its current Excel-based HR records and Sage Payroll.

Mark Cornfield, Deputy Principal Director of Finance and Resources for WESC Foundation, commented, “We have complex employment requirements in terms of work patterns, term time only contracts, multiple posts and spinal points pay arrangements. Access SelectHR will help us manage all of this efficiently.”

This point was also echoed by Maureen Biss, Director of HR for WESC Foundation, “A main driver for choosing Access SelectHR was the ability for staff to have more than one contract or role. There wasn’t really any other software out there where it was part of the core system. With other solutions it was just a workaround.”

WESC Foundation, which uses Access’ thankQ package for its fundraising CRM, will also be extending the HR solution out to its workforce. This will allow managers to take ownership for team information including qualifications and training. Mark commented, “It’s about empowering managers to make decisions; with Access SelectHR we’ll be able to provide them with the right information at the right time to aid this process. It will also allow staff to update their own information and the HR team to focus on more value-added activity.”

In addition, WESC employees will be able to use aCloud Expense to register their expenses. Mark commented, “Our current paper-driven system takes a long time to administer and authorise. With aCloud Expense, there’s a defined workflow and everything is automated. No paper trail, no documents getting lost and it’s also cost effective. That’s why we chose it.”

Access SelectHR will also help the organisation to extract reports more easily, something which is currently very difficult to do. Maureen commented, “Reporting on HR is a real struggle; we’re recording the data but we’re not able to put it to intelligent use. Absence reporting is a prime example; it’s a paper-driven exercise so it’s impossible to pull the data together easily into a meaningful report. SelectHR will change all of that.”

Access has many years’ experience within the care and education sectors which appealed to WESC, along with its ‘straight-forward’ approach. “It was clear what we’d be getting with Access and also what the cost was going to be,” said Mark. “The system will help us in every area of HR as well as reducing duplication of effort; we’ll be faster and more efficient as a result.”

WESC Foundation provides a specialist centre for education, training and expertise, to create a better life for people with visual impairment. The school and college offer a range of placements to suit individual needs including fulltime day or residential placements and respite breaks. It also offers outreach services to mainstream and specialist schools, colleges and universities.
